If you are a student or staff member whose library uses Libnio, your library is the primary operator of your account data; we process that information on the library's behalf as a service provider.
1. Information we collect
1.1 Account and profile information
When you create or use an account, we may collect:
- Full name, email address, and phone number
- Role, permissions, and library or branch assignment
- Login credentials (passwords are stored in hashed form; we do not store plain-text passwords)
- Profile and activity metadata such as last login time
1.2 Student and membership information
Libraries may store student records in the platform, which can include:
- Contact details, gender, date of birth, and address
- Admission date, membership dates, student code, and status
- Guardian or emergency contact details
- Qualification, notes, and correspondence address
- Profile photos and identity or admission documents uploaded by the library or student
- Government identification numbers (such as Aadhaar), when provided by the library
1.3 Operational and financial information
- Seat assignments, bookings, and occupancy records
- Attendance check-in and check-out events
- Fee plans, invoices, payment amounts, payment methods, and dues history
- Notifications sent or received through the platform
1.4 Information from your device (mobile app)
When you use the Libnio mobile app, we may request access to:
- Camera — to capture profile photos, scan QR codes for attendance, or upload documents
- Photos and media — to select images or documents from your device for upload
- Notifications — to deliver in-app alerts such as payment reminders or owner notifications
- Internet access — required to sync data with our servers
We do not access these features unless you or your library initiates an action that requires them. You can manage permissions in your device settings.

- IP address and approximate location derived from IP

1.6 Information you provide directly

3. Multi-tenant data handling
Each library's data is logically separated within our platform. Library staff can access only the data permitted by their role and branch scope. We do not sell tenant data or use one library's student records to serve another library.

- With your library — owners, managers, and authorized staff can view and manage data within their tenant according to permissions
- Service providers — cloud hosting, database, email, SMS, or WhatsApp delivery providers that help us operate the Services, under contractual confidentiality obligations
- Integrations you enable — for example, sharing a receipt or reminder via WhatsApp when configured by your library
- Legal requirements — when required by law, regulation, legal process, or to protect rights, safety, and security
- Business transfers — in connection with a merger, acquisition, or sale of assets, with notice where required by law
We do not sell your personal information.
5. Data retention
We retain information for as long as a library's subscription is active and as needed to provide the Services. Libraries may deactivate student accounts or remove records according to their internal policies. When a tenant account is terminated, we delete or anonymize tenant data within a reasonable period, unless retention is required for legal, accounting, or dispute-resolution purposes.
6. Security
We implement administrative, technical, and organizational measures designed to protect information, including encrypted connections (HTTPS/TLS) for data in transit, access controls, and audit logging where enabled. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
7. Your rights and choices
Depending on your location, you may have the right to:

- Request deletion of your account or personal data

Students and staff: If your library uses Libnio, contact your library first to update or delete your membership profile. The library controls most student records.

The Services are intended for use by libraries and their staff. Student records may relate to minors when libraries enroll them. Libraries are responsible for obtaining any required parental or guardian consent before submitting a minor's information. We do not knowingly market directly to children under 13.
